Booking Terms & Conditions – FlyWorld Private Limited
We are FlyWorld Private Limited ("we", "us", or "our"), registered at 59 Mason Avenue, Harrow, London, HA3 5AN. In these Booking Conditions, references to "you" and "your" refer to the lead name on the booking and all persons on whose behalf a booking is made, or any other person to whom a booking is transferred.
The terms 'package', 'organiser', and 'lack of conformity' carry the same meanings as defined in the Package Travel and Linked Travel Arrangements Regulations 2018. The word 'arrangements' refers to all travel services confirmed on your booking (including any amendments or additions).
Our responsibilities will vary depending on whether we act as the organiser of your package or as an agent on behalf of another travel supplier. References to 'packages' in these conditions relate solely to those packages for which FlyWorld is the organiser. If we are acting as an agent, your contract will be with the actual supplier, and we shall have limited responsibilities in line with section 12(A)(ii) of these Booking Conditions.
1. Our Role as a Travel Agent
Service Provision
FlyWorld Private Limited acts as an agent for a wide range of travel service providers, offering services such as air transportation, hotel accommodation, holiday packages, tours, visa processing, and other travel-related products.
When you book through our website, by phone, or at one of our branches, you acknowledge that FlyWorld is acting as an agent and not the service provider. The prices quoted to you include our service fee for bringing together your selected travel components.
Liability Limitations
As an agent, FlyWorld does not have control over the operations of third-party suppliers. While we use all reasonable care in our service to you, we cannot accept liability for the actions or omissions of these suppliers to the fullest extent permitted by law. That said, our team will always work diligently to support and assist you should any issue arise with your booking.
Accuracy of Information
We aim to ensure that all details, including prices and descriptions displayed on our website, advertising materials, and quotes are as accurate as possible. However, changes and errors may occasionally occur. We reserve the right to correct errors and update information at any time before a booking is confirmed.
It is your responsibility to confirm the accuracy of all details relating to your booking before proceeding. We will not be liable for errors made by you during the booking process or for changes caused by force majeure or unavoidable and extraordinary circumstances (as outlined in Clause 9).
2. Our Agreement With You
Contract Formation
You will receive essential information about your travel arrangements before a contract is formed. These Booking Conditions, our Privacy Notice, and any additional written communication provided to you will form the basis of our agreement.
Key Terms of Our Contract
- A binding contract comes into effect when we issue a booking confirmation. If you cancel after confirmation, cancellation charges may apply, up to 100% of the total cost.
- You may request changes to your confirmed booking; we will accommodate where possible, subject to a change fee and supplier terms.
- We reserve the right to make changes to or cancel your confirmed arrangements. In such cases, we will offer suitable alternatives and compensation where applicable.
- We are responsible for ensuring your confirmed arrangements are performed with reasonable skill and care. However, there are legal limitations and exceptions to this responsibility.
Party Leader Responsibilities
- The lead person making the booking must be at least 18 years old and authorized by all persons listed on the booking.
- By proceeding with the booking, the lead person confirms their authority and acceptance of these Booking Conditions on behalf of the entire party.
- The lead person is responsible for ensuring all payments are made to us on time.
- The contract becomes binding upon confirmation from us, subject to availability and receipt of applicable payments.
- Please check all documents and confirmations immediately upon receipt. If anything appears incorrect, you must notify us as soon as possible. Late identification of errors may limit our ability to make corrections or your right to travel.
Supplier Terms and Conditions
Many of the services included in your arrangements are provided by third-party suppliers who operate under their own terms and conditions. These may limit or exclude their liability to you, often in accordance with international conventions or local law.
Copies of supplier terms can be provided on request.
3. Payment
Payment Requirements
You must make payment for your travel arrangements in full and in accordance with the instructions provided by FlyWorld Private Limited. If we do not receive full payment within the stated timeframe, we reserve the right to treat your booking as cancelled. In such cases, the cancellation charges outlined in Clause 7 will apply.
Fraud Prevention
If a booking or order is placed under suspicious or potentially fraudulent circumstances, or if there is reason to believe that our services are being misused or intended for unlawful purposes, FlyWorld reserves the right to report these concerns to the relevant authorities without prior notice. This includes, but is not limited to:
- High-value or repeated credit card transactions
- Irregular or illogical travel routes
- Destinations associated with known smuggling, trafficking, or illegal activity
- Suspicious booking behavior identified by our team or fraud detection systems
If any such issues arise, we reserve the right to invalidate the booking without liability or obligation to you.
4. Insurance
Mandatory Insurance Requirement
It is a mandatory condition of your booking with FlyWorld that you have comprehensive travel insurance in place. Your policy must, at a minimum, cover:
- Trip cancellations
- Medical expenses
- Emergency repatriation due to accident or illness
Insurance Limitations
If you choose to travel without adequate insurance, FlyWorld accepts no liability for any losses you may suffer that would otherwise have been covered.
Even where your booking is ATOL-protected, please note that ATOL protection does not cover airline failures or any associated expenses. Therefore, we strongly recommend that your travel insurance policy includes cover for airline insolvency and any relevant disruptions.
We will gladly assist you in the event of an airline or supplier failure, but responsibility for the cost of such cover lies with you as a condition of accepting your booking.
5. Special Requests
Request Processing
If you have any special requests (e.g., dietary needs, room preferences, wheelchair assistance), please inform us at the time of booking. While we do our best to accommodate reasonable requests, we cannot guarantee that all such requests will be fulfilled.
Only requests that we have explicitly confirmed in writing on your booking confirmation are guaranteed. A failure to meet unconfirmed requests will not constitute a breach of contract by FlyWorld.
6. Disabilities and Medical Conditions
Disclosure Requirements
If you or any member of your party has a disability or a medical condition that could affect your travel, you must inform us in full before your booking is confirmed. This allows us to assess whether the travel arrangements are suitable for your specific needs.
Accommodation Limitations
In cases where we are unable to properly accommodate your requirements, we reserve the right to decline or cancel the booking in line with our duty of care. If we are not informed at the time of booking, and later find ourselves unable to meet your needs, we may cancel your arrangements, and applicable cancellation charges will apply.
7. The Price You Pay
Price Adjustments
We reserve the right to:
- Adjust the prices of unsold travel arrangements at any time
- Correct errors in advertised or quoted prices at any stage before a booking is confirmed
Post-Confirmation Price Changes
After confirmation, your arrangement price may increase or decrease due to:
- (a) Fuel or other transport-related cost increases
- (b) Changes in government taxes, airport fees, or port charges
We will absorb any price increase up to 2% of the total arrangement cost (excluding insurance and amendment charges). If the increase exceeds 8%, you will have the rights outlined in Clause 8, including the option to cancel without penalty.
If prices fall due to the same factors, we will issue a refund minus administrative costs, which may eliminate the value of the refund altogether.
Please note: Travel arrangements are not always made in local currency, and some price variations may not affect your booking due to supplier contract protections.
8. Changes and Cancellations by You

Amendment and Cancellation Charges
Any cancellation or amendment is subject to:
- Charges from third-party suppliers
- Our own administrative fees
- How close the request is to your departure date
We will always do our best to help, but changes cannot be guaranteed, and all confirmed bookings may be subject to cancellation charges.
Charges in the Event of a Cancellation
If you need to cancel your booking, the applicable cancellation charges will depend on the type of travel arrangement. If your reason for cancellation is covered by your travel insurance, you may be able to claim the charges. Any cancellation charge(s) will be deducted from the payments you have made.
Packages and Accommodation-Only
The following cancellation charges will apply based on the number of days prior to your departure we receive your cancellation notice:

Note: Some accommodation-only bookings, especially during peak periods or with non-refundable rates, may be 100% non-refundable regardless of notice period.
9. Changes and Cancellation by FlyWorld
Flight Cancellations
If your flight is cancelled, the airline's terms apply. This may include:
- Transfer to another flight
- Re-routing
- Full refund (less any card charges and £30 admin fee)
- Other alternatives as offered by the airline
Package Changes
For packages, we may occasionally have to make changes. Insignificant changes (e.g., flight time changes under 12 hours or hotel of same standard) do not entitle you to cancellation or compensation. Significant changes (e.g., resort or hotel downgrade, flight changes over 12 hours) will be notified promptly and you will be offered:
- The changed arrangements
- A full refund
- An alternative of comparable value
Compensation may be payable unless the change is due to unavoidable or extraordinary circumstances (see Clause 10).
10. Unavoidable and Extraordinary Circumstances
These are events beyond our control such as war, terrorism, natural disasters, pandemics, strikes, or government actions. In such cases, we are not liable for refunds or compensation.
11. Complaints
If something goes wrong during your trip, notify us immediately so we can resolve it. If not resolved, you must submit a formal written complaint within 28 days after your return. Contact: cs@flyworld.com or FlyWorld, Customer Service.
12. Your Behaviour
We reserve the right to cancel your arrangements without refund if your behaviour causes distress, damage, or safety concerns.
13. Our Responsibility
For packages, we are liable under the Package Travel and Linked Travel Arrangements Regulations 2018. For flight-only and other services, our liability is limited to ensuring we've used reasonable skill and care when selecting suppliers. Our maximum liability is limited to 3x (or 2x for non-package) the total cost of your booking unless otherwise stated by law.
14. Jurisdiction and Applicable Law
These terms are governed by English law. You agree to submit to the non-exclusive jurisdiction of English courts.
15. Financial Security
FlyWorld provides ATOL protection for flight-inclusive packages under ATOL number A-1355. In the event of insolvency, you can contact the CAA: 0112 358 800, claims@caa.lk.
16. Passport, Visa, and Health Requirements
You must check and meet all applicable passport, visa, and health requirements. We are not responsible if you are unable to travel due to non-compliance.
17. Flights
Flight details, including carriers and times, are subject to change. Please reconfirm 24 hours prior to travel. We are not liable for issues due to airline schedule changes or cancellations.
18. Delay
We are not liable for delays due to unavoidable circumstances. However, you may be entitled to assistance from the airline under Regulation 261/2004.
19. General Information
- Direct flights may involve stopovers
- Airport taxes may be due locally
- Hotel room types are not guaranteed
- Frequent flyer eligibility may vary
20. Package Travel Rights
Under the 2018 Package Travel Regulations, travellers are entitled to:
- Essential pre-contractual information
- Emergency assistance
- Compensation/refunds for major changes or cancellation
- Insolvency protection
FlyWorld is fully compliant and protected under UK and Sri Lanka's regulations.
